Microsoft keeps the service running and protects against their own hardware failures. But under what they call the shared responsibility model, your data is your responsibility. If a member of staff deletes emails, or an account is taken over and files are destroyed, Microsoft’s built-in retention is limited and time-boxed. Once that window passes, the data is gone. A separate backup of your 365 mailboxes, files and SharePoint sites fills that gap.
The criteria that matter
When comparing cloud backup services, look past the storage figures and check these:
- Strong encryption, in transit and at rest. Your data should be scrambled while it travels and while it sits on the provider’s servers, so a breach of the provider doesn’t hand over readable files.
- Sensible retention and versioning. You want several restore points going back weeks or months, not just last night’s copy. Ransomware and quiet corruption often aren’t spotted for days.
- Microsoft 365 coverage. If you live in 365 or Google Workspace, make sure the service backs it up properly — email, calendars, contacts, OneDrive, SharePoint and Teams files.
- Genuinely tested restores. The whole point of a backup is getting data back. A good service makes restores straightforward and lets you test them.
- Clear location and compliance. Know which country your data is stored in and that it fits your obligations under UK GDPR.
- A restore that a human can actually do. Under pressure, on a bad day, can a non-expert recover a file without a three-hour phone call? Simplicity counts.

The market breaks down into a few types:
- Dedicated backup services. Purpose-built to copy your devices, servers or cloud accounts on a schedule, with proper retention and restore tools. This is what most businesses should be using for their real backups.
- Microsoft 365 / Google Workspace backup tools. Specialists that snapshot your cloud email and files independently of the provider. Increasingly essential rather than optional.
- Secure cloud storage. Encrypted storage such as Proton Drive is excellent for keeping and sharing important files securely, and its end-to-end encryption is reassuring. Just be clear about the difference: sync-and-store is not the same as a scheduled, versioned backup you can roll back. Many businesses sensibly use both — secure storage for working files, a dedicated backup service for the safety net.
The test that proves it’s real
Here’s the uncomfortable truth: plenty of businesses that think they have backups don’t, because nobody has ever tried to restore from them. Silent failures are common — a job that stopped running months ago, a device that was never included, a 365 account nobody added.
