'The cloud' just means using computers and storage that someone else runs, over the internet, instead of owning the kit yourself. It brings real benefits — lower upfront cost, easy remote working and automatic maintenance. But there's a catch many businesses miss: the provider secures the building and the hardware, while you're still responsible for your accounts, passwords and data.
Cutting through the jargon
“The cloud” is one of those phrases that gets used constantly and explained rarely. If you’ve ever nodded along while feeling unsure what it actually means, you’re in good company. This guide clears it up in plain English — no technical background needed — and, just as importantly, explains a catch that trips up many small businesses.
So what is ‘the cloud’, really?
Strip away the mystique and the cloud is simple: it means using computers and storage that someone else owns and runs, accessed over the internet, instead of buying and maintaining that equipment yourself.
Think of it like electricity. You don’t run a generator in your back office — you plug into the grid and pay for what you use. The cloud is the same idea for computing. Instead of a server humming in a cupboard, you use services delivered from large, professionally run data centres, and you reach them through your web browser or an app.
You’re almost certainly using the cloud already:
- Email like Microsoft 365 or Gmail
- File storage like OneDrive, Google Drive or Dropbox
- Accounting software like Xero or QuickBooks Online
- Video calls like Teams or Zoom
All of these run on someone else’s computers, somewhere else, and you simply log in.
The real benefits for a small business
The cloud became popular because it solves genuine problems.
Lower upfront cost
Instead of paying thousands for a server and then replacing it every few years, you pay a predictable monthly fee for what you use. That’s easier on cash flow and turns a big one-off cost into a manageable subscription.
Work from anywhere
Because your email, files and software live online, your team can reach them from the office, from home or from a client’s site — on a laptop or a phone. For any business with remote or hybrid working, this is the single biggest practical benefit.
Maintenance is handled for you
The provider looks after the hardware, keeps the underlying systems updated and replaces failing equipment. You don’t wake up to a dead server — that’s their job now.
It grows with you
Need to add three new staff, or extra storage? It’s usually a few clicks, not a hardware purchase. And if you shrink, you scale back down.
Built-in reliability
Big providers run their services across multiple locations, so a single hardware failure doesn’t take you offline. Achieving that level of resilience yourself would be very expensive.
The catch nobody explains: shared responsibility
Here’s the part that matters most, and the part that’s most often missed.
Moving to the cloud does not hand over all responsibility for security. It splits it. This is called the shared responsibility model, and it’s worth understanding.
The provider is responsible for securing the underlying service: the physical data centres, the hardware, the networks, keeping the platform itself patched and running. They do this extremely well.
But you remain responsible for how your business uses the service:
- Who has access to your accounts
- Whether those accounts have strong, unique passwords
- Whether multi-factor authentication is switched on
- What your staff click on and download
- Removing access when people leave
The provider secures the building; you secure the front door to your own account. A world-class data centre offers no protection at all if an attacker simply logs in with a password your colleague reused on a website that got breached.
This is why most cloud break-ins have nothing to do with the provider being “hacked”. They happen because an account was poorly protected — a weak password, no MFA, or a member of staff tricked by a phishing email into handing over their login.
What this means in practice
To use the cloud safely, focus your effort where your responsibility actually lies:
- Turn on multi-factor authentication for every cloud service that supports it. Cyber Essentials already requires MFA on cloud services, and it’s the biggest single improvement you can make.
- Use a password manager so every account has a strong, unique password. A good password manager makes this effortless.
- Train your team to spot phishing, since tricking a person is easier for attackers than beating a data centre.
- Don’t assume the cloud backs up your data. Providers keep their service running, but that isn’t the same as protecting you from accidental deletion or ransomware. Many businesses need a separate backup of important cloud data.
- Know where your data lives. Under UK GDPR you should understand where your data is held. Using a service that stores data in the US is perfectly lawful when the right transfer safeguards are in place, which the major providers handle — the key is knowing, not guessing.
The bottom line
The cloud is a genuinely good thing for most small businesses: cheaper to start with, flexible, and reliably maintained. But it isn’t a magic box that makes security someone else’s problem. The provider looks after the plumbing; you look after your accounts and your data.

The big cloud providers run some of the most secure data centres in the world, with physical security and redundancy far beyond what a small business could build itself. So the underlying infrastructure is very secure. The weak point is almost never the data centre — it's accounts protected by weak or reused passwords and no multi-factor authentication. Secure your logins well and the cloud is a very safe place to work.
If my data is in the cloud, is it automatically backed up?
Not necessarily, and this catches a lot of people out. Cloud providers keep their service running reliably, but that isn't the same as backing up your data against accidental deletion, a mistake, or ransomware. Services like Microsoft 365 have limited built-in recovery. For real peace of mind, most businesses should have a separate backup of their important cloud data.
Is it legal to use a cloud service that stores data in the US?
Yes. Using a provider that hosts data in the US is lawful, provided there's a proper transfer mechanism in place — which the major providers handle as part of their service. The important thing under UK GDPR is that you know where your data is held and that appropriate safeguards exist. If you're unsure, your provider's documentation or your IT partner can confirm the arrangements.
What's the difference between the cloud and Microsoft 365?
Microsoft 365 is an example of a cloud service. 'The cloud' is the general idea of using computing and storage run by someone else over the internet; Microsoft 365 (email, Word, Excel, Teams, OneDrive) is one specific set of cloud services you rent from Microsoft. When people say they've 'moved to the cloud', they often mean they've adopted services like Microsoft 365 or Google Workspace.
